Refund and Cancellation Policy

Our refund windows, service-specific terms, cancellation procedures, and dispute resolution.

1. Introduction

This Refund and Cancellation Policy ("Policy") outlines the terms and conditions governing refunds, cancellations, and the return of payments for packages, one-time purchases, subscriptions (if applicable), services, and digital products purchased through the DentistJourney.com platform ("Platform") operated by QuantumCampus LLC ("Company," "we," "us," or "our"). The Platform primarily operates on a package-based pricing model; however, subscription-based access may be offered for certain features.

By making a purchase on the Platform, you acknowledge that you have read and agree to be bound by this Policy. Please read this Policy carefully before completing any purchase.


2. General Refund Policy for Package and Bundle Purchases

2.1 Standard Refund Windows

The Platform sells one-time packages and bundles (not recurring subscriptions). All package and bundle purchases are subject to the following general refund terms unless a more specific policy applies under Section 3:

  • Full Refund Window (Days 1-30): Customers may request a full refund within thirty (30) days of the purchase date, provided that no service within the package has been used or accessed
  • Partial Refund Window (Days 31-90): For unused packages, customers may request a fifty percent (50%) refund within ninety (90) days of the purchase date
  • No Refund (Day 91+): No refunds are available after ninety (90) days from the purchase date

Example: A customer purchasing a Pre-Dental PS 3-Pack on January 1st may receive:

  • 100% refund if requested by January 31st (and no sessions used)
  • 50% refund if requested between February 1st and March 31st (and no sessions used)
  • 0% refund if requested on April 1st or later

2.2 Non-Transferability of Packages and Bundles

All packages, bundles, and credits purchased on the Platform are non-transferable. Purchased services may only be used by the account holder who made the purchase. Packages and credits may not be gifted, resold, assigned, or transferred to any other individual or account. Any attempt to transfer or share purchased packages constitutes a violation of the Terms and Conditions and may result in account suspension or termination without refund.


3. Service-Specific Refund Terms

3.1 Personal Statement Writer Packages

The AI Personal Statement Writer service is available in the following refund scenarios:

  • Refund if Not Yet Generated: If you purchase a Personal Statement Writer package and request a refund before the AI generates an initial draft, a full refund will be issued
  • No Refund After Generation: Once an AI-generated personal statement draft has been created and made available to you, the service is considered delivered and no refund will be issued
  • Exception for Technical Failures: Refunds will be issued for technical failures preventing access to generated content, at the Company's discretion

3.2 Mock Interview Sessions

The Mock Interview service is available in the following refund scenarios:

  • Refund if Not Yet Started: If you reserve a mock interview session and request a refund before the session begins, a full refund will be issued
  • No Refund After Session Start: Once a mock interview session has commenced, the service is considered delivered and no refund will be issued
  • Exception for Technical Failures: Refunds will be issued for technical failures preventing access to session content or recordings, at the Company's discretion

3.3 Personal Statement Advisor Sessions

The Personal Statement Advisor service operates under the following refund and cancellation terms:

  • 24-Hour Cancellation Policy: Customers may cancel an advisor session and receive a full refund if cancellation is requested at least twenty-four (24) hours before the scheduled session
  • No Refund Within 24 Hours: If cancellation is requested within twenty-four (24) hours of the scheduled session or after the session has begun, no refund will be issued
  • Rescheduling: Customers may reschedule advisor sessions without penalty up to twenty-four (24) hours before the scheduled time

3.4 Digital Products and Educational Content

Digital products, including downloadable resources, templates, guides, and educational materials, are subject to the following refund policy:

  • No Refund Once Downloaded: Once a digital product has been downloaded or made available for access, no refund will be issued
  • Refund Before Download/Access: Full refunds are available for digital products not yet downloaded or accessed

3.5 Package Purchases (Bundles and All-Access Pass)

For multi-service package purchases, including Personal Statement Writer bundles, Mock Interview packages, Application Bundles, and the All-Access Pass:

  • Full Refund Window (Days 1-30): Customers may request a full refund within thirty (30) days of the purchase date, provided that no individual service within the package has been used or accessed
  • Partial Refund (Service Partially Used): If one or more services within the package have been used but others remain unused, the Company may issue a partial refund at its discretion, calculated as the package price minus the individual retail price of each used service
  • No Refund After Full Use: No refund is available once all services in the package have been used or accessed
  • No Refund After 90 Days: Regardless of usage, no refunds are available for package purchases after ninety (90) days from the purchase date

4. Cancellation and Account Closure

4.1 Cancellation of Unused Packages

Customers may request cancellation of unused package credits at any time, subject to the refund windows specified in Sections 2 and 3 of this Policy. Cancellation of unused credits does not automatically entitle the customer to a refund — refund eligibility depends on the applicable refund window and usage status.

4.2 Account Closure

Customers may close their account at any time through account settings or by contacting support@dentistjourney.com. Upon account closure:

  • All unused package credits and bundle services expire immediately
  • Refund eligibility is determined by the applicable refund window at the time of closure
  • Access to previously generated content (personal statements, interview recordings, etc.) will be available for download for 30 days following closure, after which it will be permanently deleted

4.3 Future Purchases

Customers who close their account may create a new account and purchase new packages at any time. New purchases are subject to the pricing and terms in effect at the time of purchase. Previously purchased credits or packages from a closed account cannot be restored.


5. Processing and Payment

5.1 Payment Processor

All payments are processed through Stripe, a third-party payment processor. Refunds are issued through Stripe to the original payment method used for the initial transaction.

5.2 Processing Timeline

  • Refund Initiation: Approved refunds are initiated within three (3) to five (5) business days of the refund request
  • Bank/Processor Processing: After initiation, your bank or payment processor may require an additional five (5) to ten (10) business days to process and post the refund to your account
  • Expected Timeline: Customers should expect to see refunds appear in their account within seven (7) to fifteen (15) business days of submitting a refund request

5.3 Refund to Original Payment Method

Refunds will be issued to the original payment method used for the purchase. If the original payment method is no longer available, the refund will be processed at Stripe's discretion to an alternative method or account.

5.4 Currency and Exchange Rates

For purchases in foreign currencies, refunds will be converted back to the original currency at the current exchange rate in effect at the time the refund is processed. Exchange rate differences are not the responsibility of the Company.


6. Refund Request Process

6.1 How to Request a Refund

Customers may request a refund by contacting the Company:

  • Contact Form: Via the refund request form on the Platform
  • Phone: (650) 240-0799

6.2 Required Information

To process a refund request, please provide:

  • Your account email address or username
  • The transaction ID or order number (if available)
  • The date of the purchase
  • The type of package or service for which you are requesting a refund
  • A brief reason for the refund request

6.3 Refund Review Process

Upon receiving a refund request:

  1. The Company will verify that the request meets the criteria outlined in this Policy
  2. The Company will review the request within five (5) business days
  3. The customer will receive a response via email indicating approval or denial
  4. If approved, the refund will be initiated through the payment processor
  5. The customer will receive a confirmation email once the refund is initiated

6.4 Response Timeline

The Company will respond to all refund requests within seven (7) business days of receipt.


7. Non-Refundable Items and Conditions

7.1 Non-Refundable Purchases

The following purchases and services are non-refundable regardless of other policy provisions:

  • Packages or services purchased beyond the applicable refund window
  • Advisory sessions that have already occurred
  • Transactions completed outside the refund timeframe specified in this Policy
  • Purchases made using fraudulent payment methods or stolen credentials
  • Refund requests for chargeback or dispute transactions

7.2 Refund Abuse Prevention

The Company reserves the right to refuse refund requests from customers who:

  • Submit repeated refund requests for the same or similar services
  • Request refunds after clearly using the services provided
  • Demonstrate a pattern of abuse of the refund policy
  • Have submitted fraudulent refund requests

8. Chargeback and Dispute Procedures

8.1 Chargebacks

Customers who submit chargebacks or payment disputes with their bank or payment processor instead of requesting refunds through the Company may be subject to:

  • Account suspension or termination
  • Forfeiture of any refund eligibility
  • Additional fees charged by the payment processor
  • Legal action to recover chargeback fees and damages

8.2 Dispute Resolution Requirement

Customers are encouraged to contact the Company directly to resolve payment disputes before initiating chargebacks or payment disputes with their bank.

8.3 Cooperation with Processors

The Company will cooperate fully with payment processors and banks in investigating chargebacks and disputes. Customers agree to provide necessary information and documentation to support dispute resolution.


9. Governing Law and Jurisdiction

This Refund and Cancellation Policy shall be governed by and construed in accordance with the laws of the State of California, without regard to its conflict of law principles. Both parties consent to the exclusive jurisdiction of the courts located in Sacramento County, California for any disputes arising from or relating to refunds, cancellations, or payments.


10. Dispute Resolution and Remedies

10.1 Informal Resolution

Before initiating legal proceedings, customers are encouraged to attempt to resolve disputes informally by:

  • Contacting customer support at support@dentistjourney.com
  • Providing detailed information about the disputed charge or refund request
  • Working with the Company to reach a mutually acceptable resolution

10.2 Escalation

If informal resolution is unsuccessful, customers may escalate to:

  • Legal Department: legal@dentistjourney.com
  • Formal Written Complaint: Submitted to the address listed in Section 13

10.3 Litigation

If disputes cannot be resolved through informal means, customers may pursue legal action in the courts of Sacramento County, California, subject to the governing law and jurisdiction provisions of this Policy.


11. Severability

If any provision of this Refund and Cancellation Policy is held to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect. The invalid provision shall be modified to the minimum extent necessary to make it enforceable while maintaining the intent of the parties.


12. Entire Agreement

This Refund and Cancellation Policy, together with the Terms of Service, Acceptable Use Policy, Privacy Policy, and other documents incorporated by reference, constitutes the entire agreement between the parties regarding refunds and cancellations and supersedes all prior negotiations, understandings, and agreements, whether written or oral.


13. Amendments and Updates

The Company may update this Refund and Cancellation Policy from time to time to reflect changes in business practices, payment processing, or legal requirements. Material amendments will be provided to customers with at least fourteen (14) days' notice via email or notification on the Platform. Continued use of the Platform after an amendment's effective date constitutes acceptance of the updated Policy.
